« Note cette décision dans le second cerveau. »

The second brain

An AI that answers with your rules, your clients and your habits in mind, because it first reads the folder where your company is written down.

You may already have asked an AI to write something.

The result is correct but generic, and you have to explain everything again next time.

What is missing is not a better tool: nobody has ever explained to the AI how you work.

The second brain, also called a Vault, is that explanation, written down once and for all, and read by the AI before every answer.

The principle, in one diagram

Your companyYouask a questionAIreads the second brainbefore answeringproduces a resultWork deliveredSecond brainInstructionsMemoryBoundariesDocumentsProceduresChecksConnectionswhat gets decided goes backinto the second brain, andserves the next time

The dotted arrow is the essential part: what gets decided goes back into the second brain, and is used from the very next question. That is why the answers improve over time, instead of staying at the same level.

Words followed by a * and a number are explained in the glossary at the bottom of the page, under the same number.

What changes
for you?Four situations, without a second brain, then with.

1Explaining your contextYou explain it only once

Without a second brainIn every new conversation, you explain again who you are, who the client is and where the matter stands. What the AI retains from one time to the next is not yours to choose. “Hello, how can I help you?”

With a second brainYou explain it once. The AI reads it again in every conversation and picks up where you left off. “Shall we pick up the Dupont quote where we left it?”

2Your sensitive informationYou know what the AI can read

Without a second brainExtracts of contracts and spreadsheets pasted into dozens of conversations. Nobody knows any more what was handed to the AI, or where.

With a second brainEverything is in a single folder, on your computer, and you decide what goes into it. You stay in control of your data: the AI only reads what you have chosen to share with it, and what is truly sensitive stays out of its reach, by design.

3The reliability of answersAn answer you can check

Without a second brainThe answer depends on how the question is asked. And when the AI does not know, it sometimes invents an answer and states it with confidence*1.

With a second brainThe AI relies on your actual rules and decisions, and can tell you which file its answer comes from. You check it in a moment.

4Decisions made in meetings or on the phoneNoted the same day, taken into account at once

Without a second brainThe AI was not there and does not know about them. The next day, it prepares a quote with the old delivery date.

With a second brainThe decision is noted the same day, in one sentence. From the next answer on, the AI takes it into account. “Delivery on Wednesday, as agreed with the client on the 24th.”

What does not change.

The decisions remain yours: the AI prepares, suggests and reminds you of what matters, and you decide.

What is inside
a second brain?Seven elements, all of them plain files.

1Text files, nothing elseWhat a second brain actually is
  • A second brain is a folder on your computer, organised into subfolders: your clients, your suppliers, your projects, your meetings, your decisions, your procedures.
  • Every file is plain text, in Markdown*2 format. It opens with any text editor, with no particular software, and reads like a page of notes. To work with the AI, one free application is enough, installed with you.
  • You can read everything, at any time. To change a file, you tell the AI, which writes it for you.
  • Changing it by hand remains possible, but it is not recommended: the AI keeps track of the dates, the history of changes and the links between files, and an edit made without it can create a contradiction it will not be able to date.
No software hides underneath the second brain: if everything stopped tomorrow, your files would still be there, readable by anyone.
2The instructionsThe page that introduces your company to the AI, read before every answer
  • At the start, an AI knows nothing about you. It answers the way it would answer anyone, in generalities.
  • The instructions are the page that explains who you are: what your company does, your clients, your way of working, what you expect from a good answer, and the tone you want.
  • You do not write them yourself: you describe your activity, the AI asks you questions, then it writes the page. You read it back and correct it out loud.
  • The AI automatically reads this page before every answer. That is why it answers like a colleague who has known you for a long time, and not like a stranger.
  • The instructions evolve with you: you say what is changing, and the AI updates the page.
This is the element that transforms the quality of the answers the most.
3The record of decisionsWhat was decided, when, and why
  • Every decision is noted with its date and its reason, not just the final choice: “We are keeping this supplier despite the price rise, because its lead times held all year.”
  • Without a second brain, that knowledge lives in your head and in a few emails. It fades with time, and the reasoning has to be redone when the question comes back.
  • When one decision replaces another, the old one is not erased: it is kept, with its date. Decisions form the history of your company, and the rules in force follow from them.
  • So you can always find out why you once did things differently.
4The proceduresYour way of doing things, written once and for all
  • How you price a quote, how you follow up with a client, how you prepare a delivery: every piece of know-how you repeat becomes a written procedure.
  • The AI follows the same procedure every time, without you having to explain it again, whether you are in a hurry or not.
5The boundariesWhat the AI never does without your agreement
  • Sending an email, deleting a file, paying, contacting a client: these actions are written in the second brain as forbidden without your agreement.
  • Faced with one of them, the AI stops, shows you what it is about to do and waits for your go-ahead, even when the request seems obvious.
6The automatic checksControls that run by themselves, in the background
  • Some controls are set once, then trigger by themselves whenever they are useful: an inconsistent date, a file stored in the wrong place, a missing piece of information.
  • They catch lapses of attention, the ones nobody notices, before they have consequences.
7The connections to your softwareLinking the AI to your mailbox or your calendar, when you decide to
  • A connector*3 is a link set up between the AI and one of your programs: mailbox, calendar, video meeting tool, Notion.
  • With it, the AI can read an email, find the minutes of a meeting or look at your calendar without you having to copy anything. Without a connector, it has no access to that program.
  • Connectors are optional, and they are installed last, once the rest works well: linking a second brain that is still untidy to all your tools would only spread the disorder faster.

Everything your second brain contains is written in plain files.

That is what makes it yours, and what lets it follow you if you change AI. Only the connections to your software have to be set up again.

How does
a second brain work?At every question, then over time.

Picture a brilliant new recruit whose memory is wiped every evening.

The second brain is their handover notebook: they read it again every morning, and pick up exactly where they stopped.

1The AI reads before answeringWhat happens every time you ask a question
  • Before answering you, the AI reads your instructions again, then looks in the second brain for the files relevant to your question: the client concerned, the recent decisions, the procedure to follow.
  • Its answer rests on what it has just read, not on generalities. If you ask, it tells you which file it found the information in.
2What is decided is written downThe loop that makes the second brain more useful every day
  • When you make a decision, you say “note this decision”, or you close out the conversation: the AI writes it into the second brain, with the date and the reason.
  • From the next conversation on, that decision is part of what the AI reads before answering. You do not have to remind it, or note it anywhere else.
3The past stays within reachFinding a decision again, even months later
  • Without a second brain, a question about an old decision often goes unanswered: the information was never written down, or it is scattered across emails and notes.
  • With the second brain, every decision has its date and its reason. To the question “Why did we rule out that supplier in March?”, the AI answers with the date, the reason and the context at the time.
4The second brain grows richer every dayWhat it holds after a few months
  • Every day, every week, the second brain keeps your decisions, your refined procedures, what worked and what failed.
  • Over the months, the AI comes to know your activity in detail: your clients, your habits, your exceptions. It reminds you of what you had planned, and points out what contradicts a past decision.
  • No tool you can buy offers that level of knowledge, because it comes from you.
5Your files first, the AI secondChanging AI without losing anything
  • Ordinary software keeps your data on its side: the day you leave it, you have to go and get it back, when that is possible.
  • Here, the files exist independently of the AI that reads them. If a better AI appears tomorrow, you switch, and the new one reads the same second brain. Everything you have built follows you.
6You talk, the AI writesWho keeps the second brain up to date
  • You say what has changed, and the AI writes it in the right place, with the date, keeping a trace of the previous version.
  • You stay in control: you read back whatever you want, whenever you want, and you point out what does not suit you.
7When a piece of information is wrongOne correction, valid for every conversation
  • If a piece of information in the second brain is wrong, the answer will be wrong too, and it shows quickly.
  • You point out the mistake, the AI corrects the file. The correction applies to every conversation that follows: you will not have to make it again.

The questions
you are askingWith our straight answers.

1“What guarantees the quality of the answers?”The structure of the second brain, far more than the number of files
  • A second brain gives good answers because it is well built: precise instructions, decisions with their date and reason, clear procedures, and rules about what the AI may do alone.
  • Piling up documents without order is not enough: the AI would get lost in them like anyone else.
  • That is precisely what we set up with you, and then teach you to keep alive day to day.
2“What is the AI allowed to do?”Guardrails, so that nothing important happens without your agreement
  • Guardrails are rules laid down at installation, which frame what the AI may do alone and what requires your agreement.
  • The AI therefore works inside the second brain, and looks nowhere else on your computer without asking you. Before sending, deleting or paying, it stops and waits for your agreement.
  • The detail of these rules, and how to relax them once you are comfortable, is in the section “The second brain day to day”.
3“Where does my data go?”The second brain stays with you, and you choose what the AI reads
  • The second brain stays on your computer. You decide, folder by folder, what the AI is allowed to read; the rest never enters the conversation.
  • That is why we decide with you, from the start, what goes into the second brain and what never does. The detail is in the section “The second brain day to day”.
  • Between you and us, a confidentiality agreement is signed before we open a single file. And we choose with you the AI account settings that protect your data best: what is kept, where, and for how long.
4“What if I delegate part of my work?”Handing over without explaining everything again
  • Delegating usually takes long explanations: the background of the matter, the history with the client, your requirements. With the second brain, all of that is already written.
  • You ask the AI to prepare a complete briefing on a subject, from what is in the second brain, and you choose what you pass on. The person taking over starts with the same context as you.
  • And if a key member of staff leaves the company, what they knew and was written into the second brain does not leave with them.
5“I already have shared folders”What the second brain adds
  • Your shared folders keep the documents. The second brain keeps what needs to be known about them: summarised, dated, with the reason.
  • Nothing moves: your folders stay where they are. The way to proceed is in the section “The second brain day to day”.
6“How long before it is useful?”From the first day
  • The second brain arrives already prepared: your instructions, your procedures and your first decisions are written with you during installation. From the first conversation, the AI answers like someone who knows your activity.
  • After a week, the difference with an ordinary AI is striking: you no longer explain anything twice, and the answers take into account what you decided the day before.
  • And the second brain keeps growing richer, every day, every week, every month. Unlike an AI used on its own, where you do not choose what is retained, it can only grow richer: what is learnt one day serves every day after.
7“Could I do it myself?”Yes, and here is what we bring
  • Nothing is secret: these are folders and text files, and no formula is hidden.
  • What takes time is knowing what to put in, in what order, how to keep it alive, and above all what to forbid. That experience is what we bring, so that your second brain is useful from the first day.
8“Who owns the second brain?”You do, entirely
  • All the files are on your computer, and they stay readable without us and without any particular tool.
  • You develop it as you wish: with us, on your own, or with someone else. You are tied to nothing.
9“And for a team?”You first, then those you choose
  • The second brain is built for one person first: you. That is what makes it useful immediately.
  • Once it has proved itself, it can be opened to other people, with access that you choose. That is prepared case by case, according to your organisation.
10“Does it work in my language?”In all your languages at once
  • The second brain is written in the language of your choice.
  • Files written in one language answer questions asked in another: a quote received in French is summarised directly in English, with no translation step.
Part twoThe second brain day to dayWhat is set up only once, what the AI is allowed to do, then what you do every day, with examples.

You talk.
The AI writes.

The AI knows where each piece of information belongs, what date it carries, and what it replaces.

You can read everything, whenever you want.

To change something, you say so.

1

InstallationWhat is set up only once, together.

1Opening the folder

The second brain is a folder on your computer.

It opens in VS Code*4, a free application that you keep open all day, like your mailbox.

Your folders on one side, the conversation with the AI on the other.

2Writing the instructions, by talking

You describe your activity out loud, and the AI asks you questions.

The instructions page is written in front of you, and you read it back together.

3Writing the boundaries

The actions the AI never takes without your agreement are written in black and white.

This is the most important question.

It has its own section, just below.

4Running a test

You ask it two questions whose answers you know.

“Who are we?”
“Where do you file meeting minutes?”

If it answers correctly, everything is in place.

The instructions evolve with your company.

A preference you clarify, an important new client, a way of doing things that changes: you say so, and the AI updates the instructions.

And nothing that was decided before is erased.

When a rule changes, the old one is set aside, dated, with the reason for the change.

So you can always go back: “last month, we had decided otherwise, why?”

The AI finds the old decision and its context.

2

What the AI can do, and what it cannotThe question everyone asks. Here is the straight answer.

It works in the second brain, not elsewhere

Once the second brain is open, the AI can read and write in that folder.

The rest of your computer (your other folders, your photos, your accounts) is not part of its workspace.

If it needs a file located elsewhere, it asks you for access first. You accept, or you refuse to keep it inside the second brain: you set the limit.

You do not have to point it to the folder each time: it is chosen once, at installation.

It only reaches the software you link

To look at your mailbox, your calendar or another program, the AI needs a connector*3, presented above in “What is inside a second brain?”.

Without a connector, it has no access to it.

For example, it cannot send any email: it prepares, you send.

It asks before touching anything

Before changing a file or launching an action, it shows you what it is going to do and waits for your agreement.

At the start, it is normal to want to approve everything.

Once you know it better, you can let it handle risk-free tasks on its own, such as filing meeting minutes.

The boundaries, however, stay.

The boundaries are written down

Sending, deleting, paying, contacting a client: faced with these actions, it stops and asks you.

Even if you are in a hurry, even if the request seems obvious.

And your data?

The second brain is yours, at home. The AI is a service: you rent it, and you own everything that makes it useful.

When you ask it a question, it works only with what you have given it: the files you chose, and the email or document you have it read. Nothing else.

It works out the answer and sends it back to you. The second brain itself stays on your computer.

Hence the golden rule, set together on day one: the AI only reads what is allowed to leave the company.

Salaries, passwords and employees' personal information stay out.

Information about people, whether clients or employees, follows the data protection rules of your country: we frame this with you at installation.

The AI account settings decide what the provider may keep, and for how long. We choose the most protective ones together, even at the cost of a little convenience, for maximum protection of your data.

3

You already have shared foldersThe server, Drive or SharePoint where your documents are kept today. Nothing moves.

1Choosing what matters

Not everything.

Active clients, the ways of doing things that repeat, the decisions you are often asked about again.

2The AI draws out the essentials

It reads these documents and writes into the second brain what needs to be known about them.

It also notes where the original is, so that you can always go back to it.

3Nothing moves

Your folders stay where they are.

Those who use them carry on exactly as before.

Your current folders

They keep the documents. To know what was decided, you have to find them and read them again.

The second brain

It keeps what needs to be known, summarised, dated, with the reason. The AI reads it before answering you.

4

Decisions made elsewhereMeeting, phone, email, messaging: what is written nowhere, the AI does not know.

In a meeting

The meeting is transcribed, with the participants' agreement, by your video or note-taking tool: Fireflies, Teams, Zoom…

If that tool offers a connector*3, the AI fetches the transcript*5 itself.

Otherwise, you drop it into “To file”.

“Write up the minutes of this morning's meeting.”

Decisions go into the decisions file, tasks into the project.

On the phone

As you hang up, two sentences, typed or spoken:

“Call with Dupont: delivery moves from Friday to Wednesday.”

The AI files it in the right place, with the date.

By email or team messaging

You drop the message into “To file”: the saved email, or simply its copied text.

The original does not move, it stays in your mailbox or messaging app.

“Process what is in To file.”

How the “To file” folder works

  1. You drop things in, unsortedAn email, a note, meeting minutes, a photo of a whiteboard. Without sorting, except for what is confidential.
  2. The AI reads and filesFor each item, it writes the essentials in the right place: the client's file, the project, the decisions file.
  3. It reports back to youIt tells you what it filed and where. It never deletes anything without your agreement.

The only habit to form: a decision made elsewhere is told to the second brain the same day.

That is what prevents the AI from working on outdated information.

5

Conversations with the AIHow to organise them, and what to know about their memory.

A single one, or one per project

A single conversation*6 can follow several subjects.

But the longer it gets, the less well the AI follows, and you lose the thread too.

One conversation per project lets you see, at a glance, where each subject stands.

Projects stay connected

Separating conversations does not wall anything off.

If two projects share the same lead or the same client, each conversation can look in the second brain for what was decided in the other:

“Check in the second brain what was decided for the trade fair.”

What is said is not yet written

A conversation remembers what is said in it, as long as it stays open.

But a decision made in the “Trade fair” conversation remains unknown to the others until it is written into the second brain.

“Note this decision in the second brain.”

Closing out, and capitalising

A conversation has a limited working memory, called the context window*7.

Picture a desk: the AI only works with what is laid on it. When it overflows, the AI follows less well, and when the conversation closes, the desk is cleared.

The second brain is the locker next to the desk: what is stored there is not lost when the conversation closes.

The routine to remember: close out before closing

  1. When you have finished, or when the conversation gets long, say “let's close out”.
  2. The AI capitalises*8: decisions, lessons learnt, progress, everything that matters goes into the second brain.
  3. You open a fresh conversation. It reads the second brain again and starts with everything.

A conversation closed without closing out loses everything that had not been noted.

The thread is the second brain, not the conversation.

What it looks like, three weeks laterFour fictional examples, and what the second brain changes in the answer.

A quoteThe procedures, a decision and a boundary, in the same answer.

YouPrepare the quote for Hôtel du Parc: 40 gift boxes, delivery in November.
The AI

Here is the quote. I applied the 5% discount set for clients of more than two years, and the three-week lead time from your procedure.

The amount exceeds €5,000: according to the decision of 17 September, Claire must read it before it is sent.

Without a second brain: a generic quote, without the discount, and nobody to remind you that Claire must read it.

A payment reminderThe tone you asked for with this client.

YouSend Dupont a reminder for the August invoice.
The AI

The draft is ready: formal and without reproach, as your instructions require for this long-standing client.

I also mention Wednesday's delivery, since the date changed on the 24th.

Without a second brain: a standard reminder, in a tone that could have offended a good client.

Preparing a meetingA client's whole history, in one question.

YouI am seeing Dupont tomorrow morning. Brief me.
The AI

Client since 2019. Last order in August, invoice chased in September.

The current delivery moves to Wednesday, at their request. In June, they had mentioned gift boxes for Christmas: this may be the moment to bring it up again.

Without a second brain: twenty minutes reopening your emails and notes, hoping to forget nothing.

Outdated informationThe most recent decision prevails.

YouWe deliver to Dupont on Friday, is that right?
The AI

No. The delivery was moved to Wednesday, at the client's request, during the call noted on 24 September.

Friday was the original date.

Without a second brain: the answer depends on who heard the call.

Glossary, to understand the second brainThe words marked with a numbered asterisk, then the background terms.
*1HallucinationThe name given to the case where an AI, for lack of knowledge, invents an answer and states it with the same confidence as a correct one. It is the main risk of an AI used on its own. With a second brain, the AI relies on your files and can tell you where its answer comes from, which lets you check.
*2Markdown, or “.md” filesA way of writing text where headings, lists and important words are marked with two or three simple signs, inside the sentence itself. It is neither software nor a subscription. The point is twofold. An AI reads this text directly, whereas a Word document has to be unzipped and converted first, one more step that sometimes loses what it carries. And the file stays plain text, so any computer will still open it in thirty years, without the program that created it.
*3ConnectorA link set up between the AI and one of your programs: mailbox, calendar, video meeting tool, Notion. Without a connector, the AI has no access to that program. Technically, it goes through the entry point the program provides for this purpose, called an API.
*4VS CodeThe application in which you work with the second brain. The screen is split in two: your folders on one side, the conversation with the AI on the other. It is free, and you do not write any code in it: you talk.
*5TranscriptThe text of a meeting or a call, written automatically by a note-taking tool. It is the material from which the AI draws the minutes.
*6ConversationAn exchange with the AI, in a window. You can have several open at the same time. Each one reads your instructions when it starts, then looks in the second brain for what it needs.
*7Context windowThe working memory of a conversation: everything the AI keeps in mind during the exchange. Picture a desk that only holds a limited number of files: when it overflows, the first ones slide off. In a very long exchange, the beginning fades, and that is the moment to close out. The second brain, for its part, is the locker next to the desk.
*8Closing out, capitalisingClosing out means asking the AI, before closing a conversation, to write into the second brain what was decided and learnt. Capitalising is what it then does: turning what was said into lasting information, which will serve every conversation that follows.
second brainThe English word for a strongroom. In this trade, it means a folder of files in which the way you work is written down, so that an AI can read it before answering you. No software hides behind the word: open that folder on your computer and you will find subfolders and text files, like in any working folder.
ContextEverything the AI knows about your company before you have asked a single question: your trade, your clients, your rules, what has already been decided. It is why the same question gets a bland answer for one person and an accurate one for another. The quality of an answer depends far more on this than on how the request is phrased, and it is precisely what the second brain provides.
Second brainThe term comes from a method of personal organisation: filing what you read, your ideas and your projects in an outside system, to relieve your own memory. The field often uses this word to talk about a second brain. The difference: a second brain is written to be read by an AI, which uses it to work with you.
ObsidianOptional. A free program used to read the second brain comfortably: your folders on one side, the open file on the other, and the ability to jump from one file to another by following references. It stores nothing and changes nothing, it displays. You can install it, use it for six months, then uninstall it: the second brain itself does not move.
